6 months Location: Shenton Key Responsibilities 1. Calendar & Scheduling Support Manage and coordinate team calendars, including scheduling meetings, appointments, and internal/external engagements Coordinate across time zones and ensure efficient meeting planning Prepare meeting logistics where required (e.g., room booking, restaurant reservation, materials) 2. Travel & Logistics Coordination Arrange end-to-end travel logistics including flights, accommodation, and ground transportation Handle visa applications and related documentation where required Ensure travel plans are cost-effective and aligned with company policies 3. Expense & Claims Administration Support submission and tracking of expense claims in accordance with company guidelines Ensure timely processing and proper documentation for reimbursements Liaise with finance team on claim-related matters when necessary 4. Office Administrative Support Provide general administrative support to ensure smooth office operations Coordinate office supplies, vendors, and basic facilities-related matters Support onboarding logistics for new joiners (e.g., workspace setup, coordination) 5. Event & Ad-hoc Support (Preferred) Assist in organizing internal events, meetings, or team activities Support logistics coordination for workshops, visits, or corporate functions Provide on-site or coordination support during events Requirements Diploma or Bachelor’s degree in Business Administration or related field Minimum 2–5 years of relevant experience in administrative or team support roles Strong organizational and time management skills with high attention to detail Proficient in Microsoft Office (Outlook, Excel, PowerPoint, AI tools) Ability to handle confidential information with discretion Good communication skills and ability to work across teams Experience in event coordination is an advantage Proactive, resourceful, and able to anticipate needs Comfortable working in a fast-paced and dynamic environment Strong sense of
